Mission: Building community through the arts and educational empowerment. Based in the Creative Capital, Haus of Codec is committed to ending transition-aged youth homelessness in Providence through arts, housing stability, and workforce development.

Vision: To create safer, more accessible housing, care, and essential services for displaced transition-aged youth.

Haus of Codec provides a safe shelter and community space for youth ages 18–24, including shared living areas, bedrooms, bathrooms, a self-service kitchen, food and clothing pantry, and access to essential services through partner providers.

Position Summary

The Facilities Manager is responsible for the overall maintenance, cleanliness, safety, and functionality of Haus of Codec’s residential and program spaces. This role ensures that the physical environment is safe, dignified, welcoming, and fully operational for residents, staff, and visitors. The Facilities Manager oversees routine maintenance, room turnover, vendor coordination, inventory management, and light repairs while ensuring compliance with health, safety, and housing standards.

This role is both hands-on and administrative, requiring strong organizational skills, problem-solving ability, and a commitment to trauma-informed, youth-centered environments.

Objectives of This Role

Facilities & Maintenance Operations

  • Conduct routine inspections of interior and exterior spaces to identify maintenance, safety, or cleanliness concerns

  • Perform small to medium repairs around the house (e.g., basic plumbing, patching, hardware replacement, minor electrical fixes within scope)

  • Coordinate and oversee larger repairs with licensed contractors when needed

  • Ensure all building systems (HVAC, plumbing, electrical, safety equipment) are functioning properly

  • Maintain compliance with local, state, and funder-related housing and safety requirements

Cleanliness & Common Areas

  • Ensure all common areas (kitchen, bathrooms, hallways, offices, laundry areas, shared spaces) are consistently clean, organized, and well-maintained

  • Assign, coordinate, or directly complete cleaning tasks as needed

  • Monitor sanitation standards and restocking of cleaning supplies and paper goods

Room Turnover & Client Transitions

  • Handle room turnover between clients, including:

    • Cleaning and sanitizing room areas

    • Changing linens and bedding

    • Inspecting furniture and fixtures for damage or needed repairs

    • Ensuring rooms are fully prepared, furnished, and move-in ready

  • Document room condition before and after occupancy

Inventory & Supplies

  • Perform a full facilities and supply inventory at least once per week

  • Track tools, maintenance supplies, furniture, appliances, linens, and cleaning products

  • Identify low-stock items and coordinate timely reordering

  • Maintain organized storage systems for supplies and equipment

Vendor & Contractor Management

  • Maintain an organized and up-to-date record of all contractors, vendors, and handy professionals, including contact information, service scope, and pricing

  • Schedule, coordinate, and oversee vendor services such as trash removal, landscaping, security, pest control, and specialized maintenance

  • Monitor quality of work and address service issues or disputes when necessary

  • Support budgeting and cost tracking related to facilities and maintenance services

Administration & Documentation

  • Keep accurate maintenance logs, inspection reports, inventory records, and vendor documentation

  • Support the Executive Director with facilities planning, project timelines, and maintenance budgeting

  • Communicate facilities issues, risks, or urgent needs promptly

Collaboration & Youth-Centered Environment

  • Work collaboratively with program, housing, and leadership staff

  • Maintain a respectful, trauma-informed approach when working in occupied residential spaces

  • Support a living environment that promotes dignity, safety, and community

Skills & Qualifications

  • Strong mechanical, repair, and general maintenance skills

  • Working knowledge of plumbing, electrical, HVAC, and building systems

  • Ability to safely lift and move furniture, supplies, and equipment (15–50 lbs)

  • Excellent organizational, time-management, and multitasking skills

  • Strong problem-solving and attention to detail

  • Ability to work independently and take initiative

  • Basic computer skills and comfort using digital tracking systems

Preferred Qualifications

  • Certified Facility Manager (CFM) or similar credential

  • Experience managing facilities in residential, shelter, or supportive housing settings

  • Experience maintaining facility or maintenance budgets

  • Vendor and contract coordination experience

  • Professional leadership or supervisory experience

Work Hours & Compensation

  • Hourly Rate: $27/hour

  • Schedule: 5-day workweek, approximately 38–40 hours per week

  • Occasional evenings or weekends required for events or urgent maintenance needs

  • Strong customer service and interpersonal skills

  • Ability to communicate clearly with staff, residents, and vendors

  • Knowledge of tenant rights, rental agreements, and anti-discrimination laws preferred

  • Proficiency with Google Workspace, Slack, & ADT Security Systems

  • Ability to work nights and weekends as needed

  • Ability to travel locally for facilities-related needs

  • Experience supporting individuals with disabilities, mental health needs, or challenging behaviors strongly preferred

  • Valid in-state driver’s license, current registration and insurance

  • Driving record with no more than two points in the past three years

  • Must be over 25 years old

Physical Requirements

  • Prolonged periods of standing, walking, bending, and lifting

  • Ability to lift 15–50 pounds as needed
